Document Control Improvements for 3/14

At MediaLab, we're continually working with our customers to enhance Document Control. The updates below will be made on Friday, March 14th. There's no action you need to take. The system will remain fully functional during the updates.

Improvements for 3/14 (v. 2014.2)

Notification and Reports for Bounced or Undelivered E-mail

If a e-mail that MediaLab sends to your users is returned to us because it could not be delivered (e.g. the e-mail address is incorrect, the user's mailbox is full), you'll get a notification on your Home & To-Do screen. You'll be able to correct and retry sending the undelivered e-mails.

Easier Way to Assign Permissions to Groups of Employees

A new link under "Permissions," "Manage Permissions for a Group," gives you a shortcut to add the most common permissions to groups of users.

Change Last Approval and Last Review Date for Newly Uploaded Documents

Users sometimes make an error when uploading a document that's already in use to Document Control. They may provide incorrect last approval or last review dates or names. We've made this information easier for administrators to correct, without having to re-upload the document. Once a document has been approved within Document Control, the initially provided information can't be changed.

Searching for Documents Finds Retired Documents

Searching will now match retired documents if you have permission to access them. This is faster than going to "View Documents & Manuals" > "View Retired Documents."

Easier Way to Find Documents to Put Into a New Manual

We've created an improved control (similar to "View Documents & Manuals" tab) that you can use to search and browse documents when you're selecting which documents to put into a manual, creating permissions, etc.

Download Blank Copies of Forms and Worksheets with Fewer Clicks

It will now take fewer clicks for your users can now download blank copies of forms or worksheets in the original format (best for completing online) or PDF (best for printing). Users will no longer be asked to provide a reason for downloading the blank copy -- this comment was very rarely provided.
